This policy explains how Tathom Group, trading as Tathom Virtual Assistants (“we”, “us”), collects and uses personal information through this website and our services.

What we collect

• Details you give us: your name, business name, email, phone number, billing details, and the information in our onboarding and contact forms.
• Payment information: payments are processed by our payment providers (such as PayPal). We receive confirmation of your payment and subscription, but we never see or store your full card number.
• Your client portal: the tasks, messages and files you send us through your portal, and the private calendar link we create for you.
• Technical information: your IP address when you accept our terms or submit a form, and the basic cookies WordPress needs to run the site.

How we use it

• To set up and provide your virtual assistant services.
• To take payments, send invoices and receipts, and keep business records.
• To reply to your enquiries and send you service updates.
• To keep a record that you accepted our Terms of Service.

We don’t sell your information, and we only send marketing emails if you ask us to.

Who we share it with

We share only what’s needed with: your assistant and the service partners who help us provide them, including the project management tools they use to organise your tasks; payment providers such as PayPal; our website and email hosting providers. They may be located outside your country. We may also disclose information if the law requires it.

How long we keep it

We keep client records for as long as you’re a client and for up to 7 years afterwards for tax and legal reasons. Contact form messages from people who don’t become clients are deleted within 12 months.

Your rights

You can ask to see, correct or delete the personal information we hold about you, or object to how we use it, under the data protection laws that apply to you. Email hello@tathomva.com and we’ll respond within 30 days.

Security

We use reasonable technical and organisational measures to protect your information. Please never send passwords through our website forms.

Changes

We may update this policy. The date at the top shows when it last changed.
